Most grassroots sponsors never hear from their driver between race weekends. A short report each month changes that, and it is the thing they will look for when they decide about next season.
Keep it to one page
The person who agreed the deal may need to show it to someone else in the business. One page they can forward is better than a long email. Use the same layout every month so they can compare.
What to include
- The posts that named them, with a picture of each and the date.
- How many people saw those posts, per platform, from your Instagram, TikTok or Facebook insights.
- Visits and clicks: how many people looked at your sponsor page, and how many clicked through to their website.
- Your results that month, briefly. Good or bad.
- What is coming next: the next round and the date, so they can plan their own posts.
Say where every number came from
A sponsor trusts a small number they can check more than a big number they cannot. Label each figure: measured by your website, read from Instagram Insights, or typed in by you. Never round up, and never estimate a figure you do not have. If a number fell this month, leave it in.
Send it at the same time each month
Early in the month, once last month's insights have settled. A link or a PDF, with two lines in the message: thank you, and the one thing you would like them to look at.
Do it in VLTA
- Each month, open Sponsors. The report for every partner is ready once you add last month's social figures.
- Page visits and clicks to their website are counted for you. Every figure is labelled with where it came from.
- Check each report, then send it as a link or a PDF. About five minutes for all of them.
